Billing and inventory software for retail shops: what to look for

Fast GST billing, stock that stays accurate, credit customers and daily reports: what a retail shop in India needs from software, and when custom makes sense.

Start at the counter

Every second at the billing counter is felt in the queue. Whatever software you choose, test it during your busiest hour, with your actual products. The essentials:

  • Barcode scanning, plus a fast search by name or short code for loose items
  • Keyboard shortcuts so staff rarely touch the mouse
  • Quantity, discount and price overrides with permission controls
  • UPI QR on the screen or receipt, cash, card and split payments
  • Print on your thermal printer, or send the bill on WhatsApp
  • Billing keeps working if the internet drops, and syncs when it returns

GST without the headaches

  • Correct tax on every line. HSN or SAC codes and GST rates stored with each product.
  • The right split automatically. CGST and SGST for sales within your state; IGST for sales to other states.
  • B2B invoices with GSTINs for business customers, and plain bills for walk-in customers.
  • Reports for filing. Sales and tax summaries your accountant can use for GSTR-1 and GSTR-3B, or export to Tally.

Our concept Ledgerleaf shows a billing screen where the GST split, stock and today’s sales update as items are added.

Stock that you can trust

Most stock systems fail not on day one but in month three, when the numbers on screen no longer match the shelf. Build these in from the start:

  1. 01

    Purchases update stock

Enter supplier bills once; quantities and cost prices update automatically.

  2. 02

    Returns and damages are recorded

Customer returns, supplier returns and damaged goods each have their own entry.

  3. 03

    Low-stock alerts

A reorder level for each product, with a daily list of what to buy.

  4. 04

    Batches and expiry where needed

Essential for food, cosmetics and medicines.

  5. 05

    Regular stock counts

A simple count screen for staff, with differences shown to the owner.

Credit customers and the khata book

Many shops sell on credit to regular customers. A good system keeps each customer’s balance, shows it at billing, records part-payments, and sends a friendly WhatsApp reminder with a UPI link. That alone can replace a notebook and recover money that quietly goes unpaid.

Reports that help you decide

ReportWhat it tells you
Daily sales by payment typeWhether cash in the drawer matches the system
Top and slow-moving itemsWhat to reorder, and what to stop buying
Margin by product or categoryWhere you actually make money
Outstanding creditWho owes you, and for how long
Staff-wise salesPerformance and incentives

Ready-made or custom?

For a single shop with standard needs, an established billing app is usually the right choice — quick to start and inexpensive. Custom software starts to pay off when:

  • You run several branches and need stock transfers and one view of the business
  • You sell wholesale and retail with different prices, credit terms and schemes
  • You want online orders, a customer app or loyalty points tied to the same stock
  • You keep paying for workarounds — exports, re-typing and side spreadsheets

If your shop already runs on a patchwork of sheets, our post on the signs you’ve outgrown Excel is a good first read, followed by custom software vs off-the-shelf.

Questions people ask

Can billing software work without internet?
Good ones can. Billing should continue offline and sync to the cloud when the connection returns, so a network outage never stops sales.
Can it connect to Tally?
Many billing systems export sales and purchases in a format Tally can import, or sync with it directly. If your accountant uses Tally, ask to see the export before you buy.
Do I need different software for wholesale and retail?
Not necessarily. The software needs price lists by customer type, credit limits and both GST invoice formats. Many ready-made apps handle simple cases; complex schemes often need custom work.
How long does it take to move to new billing software?
Setting up products is the main job. With a clean product list in Excel, a single shop can often switch within a week, running the old and new systems side by side for a few days.
