Why businesses outsource to India
For over two decades India has been one of the world’s main software hubs. Today the reasons are less about cheap labour and more about depth: a large pool of engineers who work with modern stacks every day, strong English, and teams of every size — from two-person studios to firms with thousands of staff.
- Cost. Senior talent costs a fraction of what it does in London, New York or Dubai, so the same budget buys more design, testing and care.
- Range of skills. Web apps, mobile apps, AI features, cloud and data work are all widely available.
- Speed of hiring. A team can start in days instead of the months it takes to hire locally.
- Follow-the-sun progress. Work continues while your office is closed.
Three ways to work with an Indian team
| Model | How it works | Best for |
|---|---|---|
| Fixed-price project | A written scope, a fixed quote and milestone payments | A clear first version: a website, an app, an internal tool |
| Dedicated developers | You pay monthly for people who work on your product full time | Products with a long roadmap and your own product manager |
| Time and materials | You pay for hours actually worked, usually with a monthly cap | Ongoing changes, maintenance and unclear requirements |
If this is your first project with a remote team, a fixed price on a focused scope is the safest place to start. Our guide to fixed price vs time and materials explains the trade-offs in detail.
Making the time difference work
India Standard Time is UTC+5:30, with no daylight saving. That gives a comfortable overlap with the UK, Europe and the Gulf, and a short morning or evening window with the US.
| Your location | Easy overlap with IST |
|---|---|
| UAE and Gulf | Most of the working day |
| UK and Europe | Your morning to early afternoon |
| US East Coast | Your early morning, or India’s evening |
| US West Coast | A short window — usually an early or late call |
The trick is to keep live calls short and regular — say 30 minutes twice a week — and do the rest in writing. A team that sends a clear written update at the end of each day often feels closer than one you call daily.
How to choose the right team
- They ask detailed questions about your business before quoting
- You get a written scope that also lists what is not included
- You can see real work, and speak to at least one past client
- You will talk to the people actually building your product, not only a salesperson
- They show progress continuously — demos, a staging link or a client portal
- The contract assigns all code, designs and accounts to your company
- They are clear about who does the work: in-house staff or subcontractors
Most of these checks apply to any software company, wherever it is. The full list is in how to choose a software development company.
Red flags to watch for
- A price on the first call before anyone understands your project.
- A large upfront payment — more than about a third — before any work is shown.
- No access to the code repository, staging site or app builds until the end.
- Constantly changing contacts, or developers who are never on calls.
- Agreement to everything. A good team pushes back when something is risky, slow or unnecessary.
Contract terms that protect you
- 01
Scope and acceptance
What will be built, and how you will check it is done — for example, a list of user journeys that must work on named devices.
- 02
Milestones and payments
Payments tied to things you can see working, not to dates alone.
- 03
IP assignment
All code, designs and documents become your company’s property, with any third-party licences listed.
- 04
Confidentiality and data
How your business information and your customers’ data are protected, including India’s DPDP Act where it applies.
- 05
Governing law and disputes
Which country’s law applies, and how disagreements are settled — mediation first, then arbitration, is common.
- 06
Handover
Source code, credentials, documentation and a short knowledge-transfer session at the end.
If personal data of Indian users is involved, our DPDP Act checklist covers what your product needs. Ownership is covered in depth in who owns the source code.
Paying an Indian company
Most Indian software companies invoice in your currency and accept international bank transfers, so you don’t have to deal with rupees at all. Services exported from India are generally zero-rated for GST, so you shouldn’t see Indian tax added to an export invoice — ask if you do.
Questions people ask
- How much cheaper is outsourcing to India?
- It varies with the team’s seniority and the project, but quotes from experienced Indian teams are commonly a fraction of UK, US or European rates for similar work. Compare scope and quality, not only the price.
- Is it safe to share my idea with an Indian development company?
- Use a mutual NDA before sharing details, and make sure the development contract assigns all IP to your company. Reputable teams sign both without hesitation.
- How do I manage a team in a different time zone?
- Agree a short regular call inside the overlapping hours, ask for written daily or weekly updates, and insist on a staging link or portal where you can see progress yourself.
- Will I own the code if the team is in India?
- Yes, if your contract says so. Ownership depends on the contract, not the team’s location — make sure it includes a clear IP assignment and a handover of all accounts.
